Can the same layout file be reused for print and for the digital version (ebook)?

In short: Partly. The proofread text and the paragraph styles can be reused; the fixed layout cannot. An EPUB ebook is reflowable — the reader controls size and screen — so the project has to be rebuilt, not exported. The exception is the fixed-layout PDF, which only suits very visual books.

This is one of the most practical — and most frequent — questions authors and publishers ask when planning to publish a book simultaneously in print and digital. The logic behind the question is understandable: if the text is the same, why would the design file need to be different?

The honest answer is: partly, yes. Partly, no. And understanding exactly what can be reused and what has to be recreated from scratch is what separates a quality digital publication from a broken ebook with chaotic formatting and compromised reading.

The printed book and the ebook are fundamentally different formats — not only in their medium, but in their operating logic. A layout file created for print does not turn into a quality ebook with a simple "export". But it also does not need to be built from scratch. The ebook: a fluid format

The ebook — especially in the EPUB format, which is the standard on most platforms — works in a radically different way. It is a reflowable format: the text flows and reorganises itself according to the dimensions of the device's screen and the reader's preferences.

On an e-reader, the reader can increase or decrease the font size. They can change the type family. They can alter the line spacing. They can choose the display theme — white, sepia or black background. In each of those settings, the text reorganises automatically, and the number of lines per screen, the number of screens per chapter and the position of each image change.

That means the ebook designer does not control where each word appears — they control the structure and hierarchy that ensures the text behaves well in whatever setting the reader chooses.

The water and ice analogy

One way to understand the difference between print and ebook is to think of ice and water. The printed book is like ice: it has a fixed shape, defined by the mould (the designer's grid). The ebook is like water: it takes the shape of the container (the device and the reader's preferences). The content — H₂O — is the same. But what you do with it has to be completely different depending on the state in which it will exist.

2. The technical differences that prevent direct reuse

Colour profile: CMYK versus RGB

This is one of the most technical and most important incompatibilities. Offset and digital (POD) printing use the CMYK colour model — cyan, magenta, yellow and black — which is the standard for printing on paper. Screens use the RGB model — red, green and blue — which is the standard for electronic display.

The images in a print layout file are in CMYK at a resolution of at least 300 dpi. If that file is exported directly as EPUB without conversion, the images may appear with altered colours or, on some devices, not be displayed correctly.

None of this exists in an ebook. The EPUB has no page dimensions. No bleed. No crop marks. Exporting a print PDF to an ebook means including, in the digital file, elements that simply have no function and that, at best, will be ignored — and at worst, will create display problems.

Page breaks and element positioning

In the print file, each page break is calculated by the designer — considering the grid, the leading and the visual harmony of the spread. Images are positioned in specific places on the page. Pulled quotes have fixed positions.

In the ebook, page breaks are generated automatically by the device based on the screen size and the reader's preferences. Fixed image positions do not work — an image that appears to the right of the text in print may appear above, below or on a completely separate page in the ebook, depending on the device.

3. What can be reused — and what has to be recreated

Having drawn the distinction between what is incompatible, it is time to be precise about what can actually be transferred from the print project to the ebook. It is not a small amount — but it needs to be done with method.

The text: what transfers — and what gets in the way

If the InDesign file was created with well-defined paragraph styles mapped to that hierarchy, the export to EPUB preserves that structure, which is the basis of a functional ebook.

The InDesign file is built to the print specifications: fixed grid, calculated margins, high-resolution images, CMYK profile. The ebook file — which can be generated as EPUB directly in InDesign, in Sigil, in Vellum or in other specialised software — is built with the fluid logic of the digital format: styles in relative units, images converted to RGB, flexible positioning.

It is the most labour-intensive path, but the one that guarantees the best quality in both formats. For authors who will sell in physical bookshops and on digital platforms simultaneously, it is the investment that makes the most sense.

Path 3: conversion from the original manuscript

A third approach — used especially when the layout file was not built with good practices — is to generate the ebook directly from the original manuscript (the Word file or similar sent by the author), instead of starting from the InDesign file.

That path avoids the problem of inheriting the print-specific formatting, but loses the typographic hierarchy the typesetter defined. It requires the ebook to be structured from scratch — which, for simple texts without many special elements, can be more efficient than trying to clean up a problematic InDesign file.

Which path to choose?

For projects planned in advance and with an adequate budget: parallel production (Path 2). For projects with a well-structured InDesign file and tight deadlines: direct export with refinement (Path 1). For projects with a problematic InDesign file or where the ebook is being considered after the print has already been completed: conversion from the manuscript (Path 3).

5. Special elements: the biggest challenge of conversion

For simple running-text books — novels, essays, non-fiction without many graphic elements — the conversion between print and ebook is relatively straightforward, once the technical differences are handled properly. The real challenge appears when the book has special elements.

Images integrated into the text

Images positioned in print alongside the text, with the text flowing around them, usually do not work in an ebook — because the fluid text reorganises the page and the image can end up in a completely different position from the one intended. The safest solution is to position the images in independent blocks — before or after the related paragraph — with the text above and below, not around.

Tables and tabular elements

Tables are one of the hardest elements to adapt for an ebook. In print, a table with ten columns can fit on a landscape page or a spread. On a 6-inch e-reader, the same table will be squashed or cut off, making the content illegible.

Common solutions include: simplifying the table to fewer columns, converting the tabular content into lists, or using images of the tables (with alt text for accessibility) — knowing that this last option compromises scalability on very small screens.

Footnotes

6. PDF as an ebook: the most common mistake

There is an extremely frequent misconception among authors publishing their first ebook: sending the print PDF directly to platforms like Amazon KDP as the ebook file.

KDP accepts PDFs — but the result is an ebook of far lower quality than a well-structured EPUB would deliver. The PDF is a fixed-page format: it keeps the print dimensions, the text does not reflow, the images stay positioned exactly where they were on the printed page. On an e-reader with a 6-inch screen, a 14 × 21 cm PDF will appear tiny — and the reader will have to zoom in to read the text.

Besides, a PDF ebook does not have the navigation features readers expect: no clickable table of contents, no way for the reader to increase the font, no adaptation to the device's night mode. It is a significantly inferior reading experience to EPUB.

PDF as an ebook is a shortcut that harms the reader

Publishing the print PDF as an ebook seems like a quick solution — but it is one of the decisions that most harm the digital reader's experience. A reader who buys the ebook and receives a file that does not reflow, does not allow text zoom and has no navigable table of contents will hardly recommend the book or buy other titles from the same author. 7. How to plan a project that will exist in both formats

The best way to avoid rework and ensure quality in both formats is to plan the project with both in mind from the start — before the layout file is created.

  1. Will the book be published simultaneously in print and ebook, or in sequence? If simultaneously, the two flows need to be planned in parallel from the start.

  2. Which ebook platforms will be used? Amazon KDP, Apple Books, Kobo and Google Play have slightly different specifications for EPUBs, and the designer needs to know the limitations of each.

  3. Does the book have special elements — tables, images integrated into the text, extensive footnotes, poetry formatting? These elements need specific solutions for the digital format, and defining them before starting the layout saves a lot of rework.

  4. What is the quality priority — print or digital? If both matter equally, the budget and production time need to reflect that.

Can I make the ebook in Word and the print in InDesign?

Technically yes — but it is not the most efficient path. Word generates EPUBs of basic quality, suitable for simple publications. Does the Kindle read EPUB or does it need MOBI?

Historically, the Kindle used the MOBI/AZW3 format, while EPUB was the standard on other platforms. Amazon started accepting EPUB directly on KDP in 2022, converting it internally to the Kindle format.
